Event Announcement Press Release Template

Event releases have a job most releases don't: driving attendance. That means the five W's move to the very top, and the release must answer 'why should I come' by the end of paragraph two.

When to use this

Use this for conferences, summits, webinars, grand openings, and community events. Distribute 2–4 weeks before the event, with a reminder release the week of.

Acme Hosts First Annual Logistics Summit in Austin, October 14

One-day summit brings 400 supply chain leaders together with speakers from Maersk, Flexport, and the Port of Houston

AUSTIN, Texas — September 15, 2026 — Acme, the freight visibility platform, today announced the first annual Texas Logistics Summit, a one-day conference taking place October 14 at the Austin Convention Center. The summit brings together 400 supply chain and logistics leaders to tackle the practical side of freight resilience, with no vendor pitches allowed on the main stage.

The agenda features 18 speakers, including the VP of North American Operations at Maersk, the Head of Trucking at Flexport, and the Executive Director of the Port of Houston, across sessions on port congestion playbooks, nearshoring economics, and AI in freight operations.

"Every logistics conference is either a trade show or a sales pitch," said Jane Doe, CEO of Acme. "We wanted one day where operators talk to operators about what's actually working."

The summit runs 9 a.m. to 6 p.m., followed by a networking reception. Registration is $195 at texaslogisticssummit.com, with a limited number of free passes for shippers moving fewer than 100 loads per year. Capacity is capped at 400.

Tips from the wire desk

01

Date, city, and event name belong in the headline, journalists scan for the five W's.

02

Name your best speakers in the subheadline; borrowed credibility drives both coverage and registration.

03

Spell out the registration URL in the body, links get stripped by some wire feeds.

04

Invite local press to attend free, explicitly, in your pitch (not the release).

05

Send a post-event release with attendance numbers and photos, it's a second bite of coverage.

Common questions

How far in advance should I distribute?

2–4 weeks before for the announcement, then a week-of reminder. Monthly-magazine trades need 6–8 weeks.

Should virtual events get a release?

Yes if the speakers or topic are newsworthy, but the draw has to work harder, since 'free webinar' is not news.
